Job Description

Responsibilities:
- Provide administrative support
- Assist with the organization of meetings & program events (may include minute taking, scheduling, room bookings, sending Outlook appointments, etc.);
- Create and/or brand clinical and office resources, documents and materials;
- Receive phone calls from families, partner organizations, other staff, etc., and redirect inquiries as necessary;
- Assist with scheduling appointments (e.g., treatment sessions, groups, etc.), including interpretation services, as well as cancellations;
- Maintain current, accurate client information including inputting and updating appropriate information in the Client Information System;
- Run program reports from Client Information System (e.g., for billing; program management, Ministry and Children's Health Foundation reporting);
- General filing, mailing/secure emailing reports, and other administrative duties as required;
- Act as a Client Information System and overall computer software support for team;
- Work collaboratively with other Administrative Assistants and provide back-up support and coverage as needed.

Qualifications:
- College diploma specializing in office administration;
- Strong customer and family-centred care focus;
- An ability to be flexible and dynamic and to prioritize and meet deadlines while balancing a number of tasks and being detail oriented;
- Proficiency in minute taking;
