Duration: 4+ months contract with a strong possibility of an extension

Requirements:
DESCRIPTION:
The resource will be responsible for providing both business support and administrative functions for three multi-disciplinary units of the Procurement Services branch. This includes suppliers' acquisition, records management, accommodation, telecommunications, support to both internal and external clients and branch operations. The resource will also have a good understanding of procurement processes and knowledge of Government procurement systems, trade agreements and policies. The unit provides business operations and administrative support to the various units in the Branch and requires specialized skills and knowledge to support our policies, process, and guidelines for procurement.
The resource will perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting with daily office needs, and managing various administrative activities.

KEY RESPONSIBILITIES:
Duties will include the following but are not limited to:
 Fulfilling administrative needs for employees within the branch to ensure they can achieve operational priorities.
 Liaising with building facilities (building maintenance and Work Order Request Tracking System (WORTS) requests, accommodations, Telecom, OHS, etc. on behalf of branch needs.
 Developing and maintaining branch records and management records, both electronic and paper.
 Assisting with on-boarding/off-boarding administration and profile requests for new and departing personnel.
 Assisting branch staff with ad-hoc requests for reporting, researching, operational/administrative support as needed.
 Assisting with fulfillment of support requests via BERNIE (internal government request system) on behalf of branch staff.
 Maintaining adequate stock of supplies and appropriate workspaces for branch.
 Providing business support to Vendors and Purchasers for procurement process and guidelines.
 Supporting and guiding Alberta Purchasing Connection (APC) client users on APC client system access and business support inquiries.
 Proofing and formatting word documents.
 Pay invoices.
 Assign and return accounts receivable.
 Record tracking in Excel.
 Order supplies.
 Answer phone calls and emails.
 Create documents and memos as required.
 Organize events, coordinate Lync meetings and book rooms as required.
 Copy, scan, fax, file and perform records management of physical and digital documents.
 Process and review expenses.
 Act as point of content for any clients.
 Take meeting minutes.
Qualifications:
MUST HAVES:
 ERP Systems (SAP)
 PeopleSoft
 Public Sector
 Records Management legislation, regulations, policies, and procedures.
 Strong time management, attention to detail, and organizational skills.
 Excellent communication skills
 Take meeting minutes.

Professional Licenses/Certification:
 High School Diploma
 Post-Secondary Office Administration
