One of our major banking clients is looking for a Banking Facilities Coordinator & Receptionist
Length: 10 Months contract with a possibility of extension or permanent
Location: Toronto, ON - ONSITE
Hours: Monday-Friday, 8:30AM - 5PM
LOB: Global Asset Management

Requirements:
ROLE MANDATE:
They will perform a variety of administrative tasks, and general offices services ensuring all administrative, operational processes and control standards are followed, while seeking to determine, develop, and participate in implementation of improvement opportunities, contributing to the effective and efficient operation of the business group.

ROLE RESPONSIBILITIES INCLUDE (but are not limited to):
 Liaises with internal business units and external vendors and participates in the local coordination and implementation of premises and building related activities
 Maintains mail room including sorting mail, and sending and receiving packages via couriers
 Dispatches meeting invitations, books meeting rooms and arranges for resources and other requirements in support of smooth and efficient meeting facilitation.
 Supports the coordination and implementation of department events.
 Dispatches outgoing communications and maintains group distribution lists
 Participates in planning, coordinating, and implementing department events
 Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
 Collaborates with internal and external stakeholders to deliver on business objectives
Processes invoices for payment in adherence with documented processes and guidelines and vendor agreements related to the office
 Provide ad-hoc administrative support


Qualifications:
MUST-HAVE SKILLS:
 2+yrs admin/reception experience
 Post secondary degree preferred, but will view candidates with high school and sufficient relevant working experience
 Polished, professional and experience working in a corporate environment
 Previous mailroom/mail management experience preferred
 Proficient in Microsoft Office applications including Outlook, Teams, Word, Excel, and PowerPoint
 Ability to multi-task
 Ability to keep information organized and confidential
 Ability to work independently and manage one's time
 Verbal & written communication skills - Good
 Organization skills - Good
 Collaboration & team skills - Good
 Analytical and problem-solving skills - Good
 Interpersonal skills - Good
 Former banking experience a nice to have
 Experience in assisting with event planning/setup a nice to have
